JOB RESPONSIBILITIES:

The Administrative Assistant must be capable of executing the following duties:

  1. Provides administrative support to ensure efficient operation of office.
  2. Carries out administrative duties such as filing, typing, copying, binding, scanning etc.
  3. Completes operational requirements by preparation of regularly scheduled reports.
  4. Answer and direct phone calls, organize and schedule appointments.
  5. Plan meetings and take detailed minutes.
  6. Develop and maintain a filing system.
  7. Maintains supplies inventory by checking stock to determine inventory level, anticipating needed supplies, placing and expediting orders for supplies.
  8. Maintain contact lists.
  9. Submit and reconcile expense reports
  10. Provide general support to visitors.
  11. Act as the point of contact for internal and external clients.
  12. Liaise with supervisor and management team to handle requests and queries from customers or clients.
  13. Contributes to team effort by accomplishing related results as needed.

QUALIFICATIONS:

Must possess these qualifications and skills:

  1. Associates degree in Business, Tourism Management or related field; additional qualification as an administrative assistant or secretary will be a plus.
  2. Proven experience as an Administrative Assistant or Office Admin. Assistant.
  3. Knowledge of office management systems and procedures.
  4. Working knowledge of office equipment and stationaries.
  5. Proficiency in MS Office (MS Excel and MS PowerPoint, in particular).
  6. Excellent time management skills and the ability to prioritize work.
  7. Strong organizational skills with the ability to multi-task.
  8. Attention to detail and problem-solving skills.
  9. Excellent written and verbal communication skills.
  10. Bilingual (English & Spanish).
